Compliance Management System |

A comprehensive web-based application designed
to ensure regulatory compliance. SSS integrates
data from internal and external data sources to
create a single source user-friendly information
system.
It monitors and documents licenses,
endorsements, certifications, DQ Docs, Training.
Data is stored by unique customer identifiers
including location hierarchy, job identifiers,
etc. The system sets up the requirements for the
DQ checklist. There are escalating reports
30-60-90 days sent out based on hierarchy. There
is online training and off-site training. Once
trained, a certificate is issued and uploaded
into the employee’s electronic record.
The system ensures compliance in a 4 step
process. The process for ensuring compliance
begins with establishing the regulatory
requirements as well as the requirements the
client wants in its application. Once the
requirements are established, SSS inputs current
employee data via data feed or scanning of hard
file copies. Records are audited against the
requirements. Once correct, the records are
reloaded and become the verifiable record for
compliance purposes.
Once entered the CMS tracks the compliance by
continuously verifying records against defined
parameters i.e. expiration dates, hire dates,
scheduled dates, etc.
Escalating exception reports are sent
automatically via email to managers in
accordance with client requirements (90-60-30).
I.e. 90 days from expiring to supervisors, 60
days from expiring to supervisors and the next
level manager, 30 days supervisor, next level,
HR, Safety, and then the Expiring dated to the
Division head, etc. The reports are all
exception based and hierarchal. You only see
what you need to know only when you need to see
it.
The CMS has customized dashboards that track
real time data. SSS can take any live data feed
and translate that data graphically into
sophisticated management reporting.
Securing the Data - The CMS has checks and
balances to ensure data is secured. Using
multiple high level firewalls and antihacker
software helps controls access, but the system
has other security features to protect employee
sensitive data including 128 bit encryption. We
are SAS 70 certified. The Client information in
the CMS can be relied upon for SEC reporting
purposes. |
